Shire Assistant in Beijing (Baxalta), China

Job Responsibility:


  • Manage the calendar for Directors

  • Coordinate travel arrangement, schedule appointments etc. provide a clear itinerary for each travel

  • Arrange internal & external meetings (agenda, logistics, materials, etc.),

  • Greet and screen visitors and telephone calls, may welcome & support visitors from region or headquarter(agenda, logistics, accommodation etc.)

  • Collaborate to work on company and function events & activities

  • Prepare the business related reimbursement for Directors

  • Keep files, documents and correspondence, and sensitive materials in confidence when required;

Office Admin:

  • Overall management of the day-to-day office general administration;

  • Ensure proper reception of external visitors and maintain utility for office security

  • Manage and evaluate administration supplies and make sure all office facilities run smoothly;

  • Responsible for coordinate with Property Management Office;

  • Monitor and manage office expenses;

  • Organize company internal activities (annual party, sales meeting, birthday party, outing, etc.);

  • Other Ad hoc Administrative support.

Qualification Requirements:

  • Bachelor Degree with major in administration management, secretarial or relevant

  • At least 2 years of related working experience in multinational companies

  • Have good communication skills in English and Mandarin

  • Proficiency with office windows (Excel, Word, Power point)

  • Be familiar with Admin Process and Management Process & Systems;

  • Have Professional Skill of Meeting / Activity Arrangement, Communication & Cooperation, Scheduling, Coping, Organization, English Skills and Computer Skills;

  • Be able to work independently and proactively
